An urgent need for modernisation

iMio, a company specialising in the sale of IT and software solutions for public services, was facing a critical problem: its administrative management was entirely paper-based. Every process, from holiday management to invoicing, was manual, resulting in a considerable loss of time and a high risk of information being lost. What's more, their old software, Jira, was no longer going to be available, making the digital transition essential to ensure continuity of operations.

Why Odoo and why Nalios?

Faced with this urgent need, iMio had to choose a solution that was ergonomic and adapted to the needs of an SME. Odoo quickly emerged as the ideal choice for centralising and automating workflows. Nalios, as a local integrator and trusted partner, proved to be the ideal choice to support them in this migration. What's more, when the need arose, iMio and Nalios were both located in the same work area. The geographical proximity between the two companies also facilitated exchanges and enabled optimal monitoring.

A project structured in several phases

The migration project was launched in March 2023 and followed a phased approach to ensure a smooth and efficient transition.

Phase 1: Digitalisation of the administration

The primary objective was to modernise the administration. By implementing Odoo, we were able to rapidly integrate the management of leave, expense claims, vehicle fleet and employees. This first phase laid the foundations for a fully centralised and digitised system.

Phase 2: Sales and accounting

Une fois l’administration optimisée, iMio a poursuivi avec l’intégration des modules de vente et de facturation. Cette étape a permis une meilleure gestion des transactions, une réduction des erreurs et une accélération des cycles de facturation.

Phase 3: Migration to Odoo 16

iMio was initially using an older version of Odoo, which limited access to new features and performance optimisations. In order to modernise its infrastructure and improve the efficiency of its operations, the company undertook a migration to Odoo 16.

This process took place over a relatively short period of 2 to 3 months. The main objective was to ensure a smooth transition without disrupting ongoing activities. To achieve this, meticulous planning was put in place, including analysis of existing data, preparation of users, and extensive testing before the final changeover.

Thanks to this structured approach, iMio was able to take full advantage of Odoo 16's advances, particularly in terms of ergonomics, automation and integration with its other tools. As a result, the upgrade optimised internal management while ensuring smooth operational continuity.

Phase 4: Towards Odoo 18 and integration of new functionalities

The next stage, scheduled for 2025, includes the implementation of the purchasing, CRM and marketing automation modules, as well as the finalisation of the fleet module. In addition, iMio plans to migrate to Odoo 18, in particular to integrate Peppol, natively, a key element for their operations.

The concrete benefits of migration

Thanks to this digital transformation carried out with Nalios, iMio has been able to achieve several major objectives:

  • Significant time savings : administrative processes are now automated, freeing up valuable team time.
  • Centralisation of data : all information is grouped together in a single software application, ensuring greater visibility and optimised collaboration.
  • Simplified accounting : the switch from Winbooks to Odoo enables integrated, fluid and efficient accounting management.
  • Increased scalability : by upgrading to Odoo 16 and soon to Odoo 18, IMIO can be sure of always benefiting from the latest functionalities and best practices on the market.

A constantly evolving partnership

iMio is currently continuing to optimise its processes by testing new modules and preparing its transition to the next version of Odoo. The partnership with Nalios remains a strategic asset for ensuring high-quality support and ongoing implementation of the best IT solutions.

Conclusion

Digitising iMio with Odoo marked a decisive turning point in their internal management. Thanks to a methodical approach and effective monitoring, the company was able to optimise its workflows, reduce wasted time and improve the productivity of its teams. This success story proves once again the importance of a well-orchestrated migration and the positive impact of a high-performance ERP on a company's management.
